Job Description
Italicatessen, a leading company in importing and distributing top quality Italian food and wines, is looking for an Office Assistant.
General description
Maintains office operations assisting supervisors in the daily duties, maintains supplies and equipment, customer interfacing, sales support. Working days are from Tuesday to Saturday,
Job Duties:
- Enters customer orders
- Plans delivery routes and delivery sequence
- Forwards information by receiving and distributing communications; collecting and mailing correspondence; copying information.
- Provides sales support.
- Provides warehouse support.
Processes and finalizes invoices
Processes work orders
Receives, records and writes receipts for any money collected
Reconciles accounts receivable on a weekly and monthly basis
Prepares and mails customer account statements on a quarterly basis
Prepares notices of overdue accounts
Develops and maintains a current and accurate filing system
Coordinates the repair and maintenance of office equipment. Maintains equipment by completing preventive maintenance; troubleshooting failures; calling for repairs; monitoring equipment operation;
Assists Finance Officer, Administration staff and Dispatch and Unit Supervisor as requeste
- Serves customers by backing-up receptionist; answering questions; forwarding messages; confirming customer orders; keeping customers informed of order status.
- Enhances organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
- Performs other related duties as required
Qualifications and skills required:
Office Experience - General Scheduling, Telephone Skills, Typing, Documentation Skills, Verbal Communication, Written Communication, Dependability, Attention to Detail, Administrative Writing Skills.
